About the Position
We are seeking a Marketing & Communications Assistant to join one of our clients. In this role, you will provide administrative, content, creative, and digital marketing support to the Marketing & Communications team. This position is ideal for a highly organized and detail-oriented professional who enjoys working across social media, email marketing, website management, reporting, and digital content coordination. You will play a key role in ensuring marketing campaigns, communications, and events are executed efficiently while supporting a collaborative and fast-paced remote work environment.
Responsibilities
- Maintain marketing trackers, content calendars, task lists, and working documents to support team workflows and project delivery.
- Organize marketing files, folders, and documentation while ensuring accurate version control and accessibility.
- Monitor deadlines, outstanding tasks, and workflow progress to support timely project completion.
- Prepare and schedule approved social media content across designated platforms.
- Upload captions, graphics, videos, and links into social media scheduling tools.
- Maintain content records and escalate engagement or inquiries requiring further review.
- Create and update Canva graphics using approved templates, branding, and creative assets.
- Resize and adapt creative materials for social media, email campaigns, websites, webinars, and events.
- Maintain organized digital asset libraries and version control processes.
- Build and prepare email campaigns using approved templates and content within HubSpot or similar platforms.
- Conduct quality assurance checks on email formatting, links, layouts, and recipient lists prior to distribution.
- Assist with email campaign reporting, template maintenance, and performance tracking.
- Perform basic website content updates using WordPress or a similar content management system.
- Upload documents, resources, images, and approved website content.
- Update landing pages and review website content for formatting, functionality, or content issues.
- Set up and coordinate Zoom meetings, webinars, and virtual events.
- Manage registrations, reminders, attendance tracking, recordings, and post-event communications.
- Prepare post-event resources, reports, and supporting documentation.
- Pull, update, and maintain email, social media, website, and campaign performance data.
- Maintain reporting templates, dashboards, charts, and tracking spreadsheets.
- Identify and escalate unusual performance trends, reporting discrepancies, or data issues.
Qualifications
- Strong written English communication skills with the ability to produce professional business correspondence.
- Excellent attention to detail, organizational skills, and time management abilities.
- Experience using Canva for graphic design and content creation.
- Experience preparing, scheduling, and managing social media content.
- Experience using HubSpot or a similar email marketing platform.
- Experience using WordPress or a similar content management system for website updates.
- Experience coordinating Zoom meetings, webinars, or other virtual events.
- Proficiency in Microsoft Office and Google Workspace applications.
- Strong spreadsheet management, file organization, and document formatting skills.
- Ability to follow standard operating procedures, templates, checklists, and brand guidelines.
- Familiarity with Australian spelling conventions and business communication standards.
- Strong communication skills with the confidence to ask questions and clarify requirements when needed.
- Ability to work independently and collaboratively in a remote environment.
- Willingness to work a morning shift and attend onsite work once per month in a hybrid setup.
Nice to Have
- Basic knowledge of SEO principles and best practices.
- Experience administering Learning Management Systems (LMS) or online learning platforms.
- Exposure to social media analytics, reporting, and performance tracking.
- Basic video editing skills.
